Terms & Conditions
Welcome to Oxford Travels. These Terms & Conditions govern bookings, enquiries, payments and use of travel services provided or facilitated by Oxford Travels through our website, office and other authorized communication channels.
By making a booking, submitting traveller details, making a payment or using our services, you acknowledge that you have read, understood and agreed to these Terms & Conditions.
Certain services are provided directly by third-party suppliers such as airlines, hotels, destination management companies (DMCs), cruise lines, transport operators, visa service providers, insurance companies, payment providers and other travel partners.
Their individual terms and conditions may also apply to your booking.
02Booking & Confirmation
A booking is considered confirmed only after the required payment has been received and confirmation has been issued by Oxford Travels or the relevant service provider.
Submission of an enquiry, booking request, traveller details or payment does not by itself guarantee availability or confirmation.
Prices and availability may change until the booking is finally confirmed.
For services with live or dynamic inventory, including flights and hotels, availability and prices may change between search, selection, payment and final confirmation.
If a requested service becomes unavailable before confirmation, we may offer an alternative or process the applicable refund for the unconfirmed service.
03Traveller Information
Customers are responsible for providing complete and accurate traveller information.
Names entered for flight, hotel, visa, cruise or other reservations should match the traveller's passport or applicable government-issued identification exactly where required.
Oxford Travels will not be responsible for additional charges, cancellation, denied boarding, visa issues or other losses resulting from incorrect information provided by the customer.
Any correction or amendment will be subject to the rules and charges of the relevant supplier.
04Passport & Travel Documents
It is the traveller's responsibility to ensure that passports, visas, permits, identification documents and other travel documents are valid and meet the requirements of the destination and transit countries.
Many countries require passports to remain valid for a specified period beyond the travel date.
Travellers are responsible for checking applicable immigration, health, entry, transit and documentation requirements before travel.
05Prices
All prices are subject to availability at the time of booking.
Unless specifically stated otherwise, prices may be affected by changes in:
Airfare
Hotel rates
Taxes
Government levies
Visa fees
Foreign exchange rates
Fuel surcharges
Supplier charges
Transportation costs
Other applicable fees
For confirmed bookings, any subsequent changes will be handled according to the applicable booking conditions and supplier rules.
Obvious pricing, technical or system errors do not create an obligation to provide a service at an incorrectly displayed price.
06Payments
Bookings may require full or partial payment depending on the service.
Accepted payment methods may include online payment gateways, UPI, bank transfer or other payment methods made available by Oxford Travels.
A payment transaction being successfully completed does not necessarily mean that the underlying travel service has been confirmed. Final confirmation remains subject to successful processing and supplier availability.
Customers are responsible for verifying the booking confirmation after payment.
Applicable payment gateway, banking or transaction charges may be non-refundable.
07Flights
Flight bookings are governed by the fare rules and conditions of the respective airline.
Airfares may be non-refundable, partially refundable or subject to amendment and cancellation charges.
Schedule changes, cancellations, delays, baggage allowance, seat allocation, meals, check-in requirements and other airline services are controlled by the airline.
Oxford Travels acts as a booking facilitator for airline reservations and cannot guarantee airline schedules or operations.
Travellers should reconfirm flight timings before departure and arrive at the airport within the airline's recommended reporting time.
08Hotels
Hotel bookings are subject to the individual hotel's and supplier's cancellation and amendment policies.
Hotel photographs, descriptions, amenities, room categories and other information are generally provided by hotels or third-party suppliers and are displayed for informational purposes.
Actual room appearance, facilities and services may vary.
Standard check-in and check-out times are determined by the individual hotel. Early check-in and late check-out are subject to availability and may involve additional charges.
Special requests such as adjoining rooms, particular floors, bed types, views or early check-in cannot be guaranteed unless specifically confirmed by the hotel.
09Holiday Packages & Group Tours
Package itineraries are prepared based on planned travel arrangements at the time of booking.
The sequence of sightseeing, hotels, transportation, flights or other components may be modified when reasonably necessary because of operational requirements, weather, local conditions, government restrictions, supplier changes or circumstances beyond our control.
Where a specific hotel becomes unavailable, a comparable alternative may be offered subject to availability and the applicable package conditions.
Group departures may require a minimum number of participants. Where applicable, customers will be informed of such requirements.
10Fixed Departures & Seat Blocking
Fixed-departure bookings may require a non-refundable or partially refundable booking amount to block seats.
Payment of a blocking amount does not alter the cancellation rules applicable to the particular departure.
Balance payments must be made within the communicated deadline. Failure to pay the balance within the required period may result in cancellation and applicable charges.
Specific fixed-departure conditions provided at the time of booking will take precedence where they differ from these general terms.
11Pilgrimage Tours
Pilgrimage tours may involve special operational arrangements, group schedules, religious-site regulations, local authorities and third-party service providers.
Itineraries and arrangements may need to change because of local regulations, religious events, crowd management, security restrictions, border procedures, flight operations or instructions from local authorities.
Travellers are expected to comply with the rules, dress requirements, schedules and instructions applicable to the respective pilgrimage and group.
12Visa Services
Oxford Travels provides visa assistance and facilitation where offered.
The decision to grant, refuse, delay, cancel or determine the duration or conditions of a visa rests solely with the relevant embassy, consulate, immigration authority or government.
Oxford Travels cannot guarantee visa approval or processing time.
Visa, processing and service charges may be non-refundable once an application has been submitted or processing has commenced.
Travellers should not make non-refundable travel arrangements solely on the assumption that a visa will be approved unless they accept the associated risk.
13Activities, Sightseeing & Transfers
Activities, attraction tickets, sightseeing tours and transfers are subject to the terms of the respective operator.
Reporting times, pickup points, age restrictions, height or weight requirements, weather restrictions and other operational conditions may apply.
Failure to report at the designated location and time may be treated as a no-show and may not qualify for a refund.
14Cruises
Cruise bookings are subject to the cruise operator's terms, cancellation policy and documentation requirements.
Passengers are responsible for obtaining all visas and travel documents required for every port of call and transit point.
Cruise itineraries and ports may be changed by the cruise operator for operational, safety, weather or regulatory reasons.
15Cancellation & Refunds
Cancellation charges vary depending on the service, supplier, fare type and date of cancellation.
The cancellation policy communicated during or after booking forms part of the booking terms.
Refunds, where applicable, will be processed after receiving the refundable amount or authorization from the relevant supplier.
Any non-refundable supplier charges, cancellation fees, service fees, payment processing charges or other applicable deductions may be deducted from the refund.
Refund processing times can vary depending on airlines, hotels, banks, payment gateways and other suppliers.
16Amendments
Requests for changes to names, dates, flights, hotels, passenger details or other booking components are subject to availability and supplier rules.
Amendment charges and any difference in fare or price may apply.
Some bookings cannot be amended and may require cancellation and a new booking.
17No-Show
Failure to use a confirmed service or report within the required time may be considered a no-show.
No-show bookings may be completely non-refundable depending on the supplier's policy.
18Third-Party Suppliers
Oxford Travels works with various third-party travel suppliers and technology providers.
Where Oxford Travels acts as an intermediary, the actual travel service is delivered by the relevant supplier.
Supplier-specific conditions form part of the booking and may include additional restrictions relating to cancellation, refund, amendment, baggage, check-in, accommodation or service delivery.
19Force Majeure & Events Beyond Our Control
Oxford Travels will not be responsible for failure, delay or changes caused by circumstances reasonably beyond our control, including natural disasters, extreme weather, war, civil disturbance, government actions, epidemics, pandemics, strikes, airport closures, border restrictions, airline disruptions or similar events.
Where such circumstances affect a booking, we will make reasonable efforts to assist customers with available alternatives, subject to supplier rules and applicable additional costs.
20Website & Technical Errors
We make reasonable efforts to maintain accurate information and uninterrupted access to our website and booking systems.
However, temporary errors may occur because of internet connectivity, supplier systems, API failures, server issues, maintenance or other technical circumstances.
Oxford Travels reserves the right to correct genuine technical, pricing, availability or content errors.
21Customer Responsibility
Before confirming a booking, customers should carefully verify:
Traveller names
Travel dates
Destination
Flight details
Hotel details
Room configuration
Package inclusions and exclusions
Cancellation policy
Passport validity
Visa requirements
Baggage allowance
Reporting and check-in requirements
Customers should immediately report any discrepancy found in their booking confirmation.
22Travel Insurance
Travellers are encouraged to obtain suitable travel insurance covering circumstances relevant to their journey, which may include medical emergencies, trip cancellation, baggage loss, delays and other travel risks.
Insurance coverage remains subject to the terms and exclusions of the selected insurance provider.
23Behaviour & Conduct
Travellers are expected to behave responsibly and comply with applicable laws, supplier rules and instructions from authorized representatives.
A traveller may be denied participation in a service where their conduct creates a significant safety, legal or operational concern, subject to applicable law and supplier conditions.
24Limitation of Responsibility
Oxford Travels is responsible for services directly provided by us to the extent required under applicable law.
For services supplied by independent third parties, responsibility for the actual performance of those services remains subject to the relevant supplier's obligations and applicable law.
Nothing in these Terms & Conditions is intended to exclude or restrict any consumer right or liability that cannot legally be excluded under applicable law.
25Privacy
Personal information collected during enquiries and bookings will be handled in accordance with our Privacy Policy and applicable law.
Information may be shared with airlines, hotels, visa processors, government authorities, payment providers, travel suppliers and other parties where reasonably necessary to process or fulfil a booking.
26Changes to These Terms
Oxford Travels may update these Terms & Conditions from time to time.
The terms applicable to a booking will generally be those communicated or applicable when the booking is made, together with any specific supplier conditions attached to that booking.
27Governing Law & Jurisdiction
These Terms & Conditions shall be governed by the applicable laws of India.
Subject to applicable consumer protection and other mandatory laws, disputes relating to services provided by Oxford Travels shall be subject to the jurisdiction of the competent courts applicable to Oxford Travels' place of business.
