Cancellation & Refunds
At Oxford Travels, we understand that travel plans may change. This Cancellation & Refund Policy explains how cancellations, amendments and refunds are handled for bookings made through Oxford Travels.
Cancellation and refund conditions vary according to the type of service, fare, supplier and booking conditions. Customers are therefore requested to carefully review the cancellation terms displayed or communicated at the time of booking.
By confirming a booking with Oxford Travels, you agree to the applicable cancellation and refund conditions.
01General Cancellation Policy
All cancellation requests are subject to the terms and conditions of the relevant airline, hotel, tour operator, cruise line, visa service provider, activity provider, transfer operator or other travel supplier.
Depending on the booking, cancellation charges may include:
Supplier cancellation charges
Airline cancellation charges
Hotel cancellation charges
Tour or package cancellation charges
Visa processing charges
Cruise cancellation charges
Payment gateway or banking charges
Oxford Travels service or processing charges, where applicable
Taxes or fees that are non-refundable
The refundable amount, if any, will be determined after applying all applicable deductions.
02How to Request a Cancellation
Customers should submit cancellation requests through Oxford Travels using our official contact channels or the cancellation facility available in their account, where provided.
A cancellation is not considered completed merely because a request has been submitted.
The booking remains active until the cancellation has been successfully processed and acknowledged or confirmed.
Customers should retain the cancellation confirmation for their records.
03Flight Cancellations
Flight cancellations are governed by the fare rules of the respective airline.
Depending on the fare purchased, a ticket may be:
Fully refundable
Partially refundable
Non-refundable
Refundable only for certain taxes
Subject to airline cancellation penalties
Airline charges may vary depending on how long before departure the cancellation is made.
Oxford Travels does not determine airline cancellation penalties.
Where applicable, Oxford Travels service or processing charges may be additional to the airline's charges.
Failure to cancel before the airline's permitted deadline may result in the booking being treated as a no-show, which may significantly reduce or eliminate the refundable amount.
04Airline Cancellation or Schedule Changes
If an airline cancels a flight or makes a significant schedule change, the options available will depend on the airline's policy.
The airline may offer:
An alternative flight
Rescheduling
Travel credit
A full or partial refund
Other options permitted under its applicable rules
Oxford Travels will assist customers in processing the available option with the airline.
Any refund remains subject to airline approval and processing.
05Hotel Cancellations
Hotel cancellation conditions vary according to the property, room type, rate plan, supplier and booking dates.
Hotel bookings may be:
Free cancellation until a specified deadline
Partially refundable
Non-refundable
The applicable cancellation deadline and charges should be reviewed before confirming the reservation.
Cancellation after the permitted deadline or failure to check in may result in partial or complete forfeiture of the booking amount.
06Holiday Package Cancellations
Holiday packages may combine several separately booked services, including flights, hotels, transportation, sightseeing, activities and other arrangements.
Cancellation charges may therefore differ for each component.
Once arrangements have been confirmed with suppliers, some components may become non-refundable even if the entire trip has not yet commenced.
Any refund will be calculated after deducting the cancellation charges applicable to the individual services included in the package.
07Fixed Departure & Group Tour Cancellations
Fixed departures and group tours may involve advance commitments for airline seats, hotel rooms, transportation and other services.
The initial booking or seat-blocking amount may therefore be non-refundable or subject to specific cancellation conditions, as communicated at the time of booking.
Cancellation charges may increase as the departure date approaches.
The cancellation conditions communicated for the specific fixed departure or group will apply to that booking.
08Pilgrimage Tour Cancellations
Pilgrimage packages may include flights, visas, accommodation, meals, local transportation, group arrangements and other services booked in advance.
Cancellation charges will depend on the amounts already committed or paid to the relevant suppliers and service providers.
Visa fees and other services already processed may be non-refundable.
Specific cancellation conditions communicated for the pilgrimage departure will form part of the booking terms.
09Visa Fees & Visa Services
Visa application fees, government charges, embassy or consulate fees and Oxford Travels processing or service charges may become non-refundable once an application has been submitted or processing has commenced.
A visa being refused, delayed or granted for a shorter period than expected does not automatically create a right to a refund of visa processing charges.
Visa approval remains solely at the discretion of the relevant embassy, consulate or immigration authority.
Cancellation of other travel arrangements following visa refusal will remain subject to the cancellation conditions applicable to those individual bookings.
10Activities, Sightseeing & Attraction Tickets
Cancellation of sightseeing tours, attraction tickets, excursions and activities is subject to the relevant operator's policy.
Some tickets and activities may become completely non-refundable once booked.
Date changes may also be treated as cancellation and rebooking depending on the supplier's conditions.
11Transfers & Transportation
Airport transfers, private vehicles, shared transfers and other transportation bookings are subject to the cancellation conditions of the respective operator.
Late cancellation, failure to arrive at the agreed pickup location or failure to report within the required waiting period may be treated as a no-show.
12Cruise Cancellations
Cruise cancellation policies are determined by the respective cruise operator.
Cruise cancellation charges commonly increase as the sailing date approaches.
Certain cruise fares, deposits, taxes, packages or promotional bookings may be partially or completely non-refundable.
The cruise operator's applicable cancellation conditions will govern the booking.
13No-Show
A traveller may be considered a no-show if they fail to report for a confirmed flight, hotel, transfer, activity, tour, cruise or other travel service within the required time.
No-show bookings may be partially or completely non-refundable.
Customers should contact Oxford Travels as early as possible if they are unable to use a confirmed booking.
14Amendments & Date Changes
Changes to travel dates, passenger details, flights, hotels, room types or other booking components are subject to availability and supplier rules.
An amendment may involve:
Supplier amendment charges
Airline change fees
Fare difference
Hotel rate difference
Visa-related costs
Oxford Travels processing charges, where applicable
Some bookings cannot be amended and must instead be cancelled and rebooked.
19Partial Refunds
Where only part of a booking is cancelled, the refund will be calculated according to the rules applicable to the cancelled component.
Cancelling one component may also affect the pricing or eligibility of another component of a package.
Customers should therefore request a revised cancellation calculation before cancelling only part of a package.
20Promotional & Special Fares
Special fares, promotional fares, discounted packages, group fares and limited-period offers may have stricter cancellation conditions.
Some promotional bookings may be completely non-refundable and non-changeable.
These conditions will be communicated or displayed as part of the applicable booking terms.
23Incorrect Booking Information
Refunds or amendments required because of incorrect names, travel dates, passport details, destinations or other information supplied by the customer will be subject to the applicable supplier's rules and charges.
Customers should carefully verify all information before confirming a booking.
15Refund Processing
Where a refund is applicable, Oxford Travels will initiate or process it after receiving confirmation or the refundable amount from the relevant supplier, as applicable.
Refund processing time depends on the supplier, airline, hotel, bank and payment method involved.
A supplier may take additional time to approve and return funds before Oxford Travels can complete the customer's refund.
16Refund Method
Where reasonably possible, refunds will be made to the original payment method used for the booking.
Depending on the circumstances and applicable requirements, refunds may be processed through:
Original payment method
Bank transfer
UPI
Payment gateway reversal
Other mutually accepted method
Customers may be required to provide appropriate banking or payment information where an automatic reversal is not possible.
17Payment Gateway & Banking Charges
Payment gateway convenience fees, transaction charges, banking charges and similar processing costs may be non-refundable where those amounts are not returned by the relevant service provider.
The amount paid and the amount refundable may therefore differ even where the underlying travel service permits a refund.
18Refund Processing Time
Oxford Travels will make reasonable efforts to process eligible refunds promptly after receiving the necessary approval and/or funds from the supplier.
Actual timelines may vary depending on:
Airline or supplier processing
Hotel processing
Payment gateway settlement
Banking systems
Card issuer processing
International payment processing
Customers should allow reasonable processing time after receiving refund confirmation.
22Duplicate or Failed Transactions
If an amount is debited but a booking is not successfully confirmed because of a payment gateway, banking or technical failure, the transaction will be reviewed.
Where Oxford Travels has not received the funds, any reversal will normally be handled by the customer's bank or payment provider.
Where duplicate or excess payment has been successfully received by Oxford Travels, the eligible excess amount will be refunded after verification.
24Refund Calculation
Where applicable, the general refund calculation will be:

Customers may request details of the applicable cancellation charges for their booking.
21Force Majeure & Circumstances Beyond Our Control
Travel services may be affected by circumstances beyond the reasonable control of Oxford Travels, including:
Natural disasters
Extreme weather
War or civil disturbance
Government restrictions
Border closures
Epidemics or pandemics
Strikes
Airport closures
Airline disruptions
Security situations
Changes in government or immigration regulations
In such circumstances, refunds, credits, rescheduling or alternative arrangements will generally depend on the policies of the relevant suppliers and applicable law.
Oxford Travels will make reasonable efforts to assist customers with the options made available by the respective service providers.
25Supplier-Specific Policies
Where a supplier's cancellation or refund policy differs from this general policy, the specific conditions applicable to that booking will take precedence to the extent permitted by applicable law.
Customers should review the fare rules and cancellation conditions shown or communicated before making payment.
26Our Role
For many travel services, Oxford Travels acts as an intermediary between the customer and third-party travel suppliers.
Where a refund depends upon a third-party supplier, Oxford Travels cannot guarantee a refund that the supplier does not authorize or return, except where otherwise required by applicable law.
We will, however, make reasonable efforts to assist customers with eligible cancellation and refund requests.
